THEATRE AND DANCE DEPARTMENT
PUBLICITY
Jim Powers is responsible for designing mainstage posters, and program
and study guide front cover designs. For faculty or guest artist
directions, please submit poster information to the Office of Communication
and Events four weeks prior to when the poster is needed, which
is usually five weeks before the event.
Other posters, including guest artist workshops and other department
productions (student-directed, open space, course showings) are
designed in the Main Office.
If you wish to design your own posters, programs, and tickets, please
inform the Bucksbaum Office of your decision and plan to give the
office a copy for archival purposes (design162@grinnell.edu).
Poster information and ticket requests are due THREE weeks
before the preview.
Information needed includes:
1. Title of play (i.e., The Birds)
2. Dates of performance (April 21-23, 2003)
3. Days and times of performance (Friday & Saturday, 8p.m.;
Sunday, 2p.m.)
4. Director, Assistant Director names (and grad dates, if desired)
5. Any special information, like special guest actors or performers,
etc.
6. Images, photos, etc. to represent the production
* If you are bringing in a guest artist/ensemble, their publicist
usually has pre-made posters. These posters are preferred simply
because they tend to be much more eye-catching and are easy to
print on from the office printer.
Study guides are not prepared through the office; only sent
out to Copy Connection. The Bucksbaum Office will take your work
and add the front cover design and masthead/synopsis materials to
make it an "official book."
You are responsible for collecting all materials and ordering
them exactly how you prefer (including which way you want the
double-sided pages to appear).
The office will make sure that what you send over to Copy Connection
will return in a timely fashion. This includes poor quality
books-what you prepare is exactly what will return.
Study guide information is due TWO weeks before they should
be accessible to the public.
Copy Connection has requested that:
- there are no taped or hand-pasted papers on the pages
- for every page, the margin is set for at least .5"
- the original copy be set in the same order
Program information is due TWO weeks before the preview.
Your stage manager should have most of this information by the end
of the first rehearsal. Please assist him/her with this information
by making sure the director’s notes, the dramaturg’s
notes, and the guest artist bios are turned in sooner rather than
later.
Program information includes:
1. Masthead (date, location, title; all designers –
set, light, costume, sound – TD, SM, dramaturg, choreographers,
etc.)
2. cast
3. cast
bios
4. synopsis (setting of play or scenes)
6. director’s notes
7. dramaturg’s notes
8. guest artists' bios
9. production staff list (the Bucksbaum Office can obtain THE
115, 117, 245 class lists)
10. student staff
11. other (text, translations, quotes, musical excerpts, etc.)
After information has been submitted, you will receive a draft
of the document. At that time, you will decide what kind of paper
on which you would like to have the article printed. You will
also need to proof the copy and, if you can, have the cast and
crew check over the information for misspellings or updates.
Paper sample booklets are available in the Bucksbaum Office.
Other publicity includes campus memo announcements, and,
if desired, press coverage in the Grinnell Herald-Register. If
you are interested in having your event included in these publications,
please send a blurb about your show to design162@grinnell.edu.
If you have ANY questions, please contact the Bucksbaum Office
at 269.3085, or email design162@grinnell.edu.
